Policies & Procedures





Registration

All track time, regardless of registration method, is filled on a first-come, first-serve basis within each skill group, and space is limited!  See Our Approach for information on our Rider Skill Levels.  All prices are subject to change.  All track time purchases require that the rider agree to our Terms and Conditions (all of which is covered in these Policies & Procedures).

While track time can be purchased as individual days, the term Event also includes any consecutive days at a given track.  Some events are one day only (such as a Friday prior to a race); most are weekend events (Saturday-Sunday); and some are three day events (Saturday-Sunday-Monday).  Official start time of any event is 7 a.m. on the first day of the event.

Website Registration

All participants must sign up for a username and password on this site to be added to our customer database.  

  • Please ensure that you have correctly entered your telephone number and email; we will only use this information to contact you regarding your orders and we will never sell or share your contact information.  Please see our Privacy Statement for more information.
  • Only one registration is permitted per email address; please reset your password or contact the office for assistance rather than creating a duplicate account.  It is important that we have your correct and preferred email for correspondence regarding track time events.
  • Account and password settings, newsletter options, contact information, order history and more can be found on My Account.  You may also request assistance in editing any of these items.

Reserving Your Track Time Online

The most effective way to reserve dates is through the online registration system on this website using Paypal or Credit/Debit.  Simply complete registration on the site to view track time prices and purchase track time!  Membership is not required but comes with a load of perks and discounts; read more on STT Memberships here.

  • Please Note:  All riders must be registered under their own username and password;  Do not register anyone else under your username.  STT is not required to honor track time registrations purchased under another account.  Any spots being purchased for another participant under your account will be charged a transfer fee of $20.00 per order.  If you wish to purchase a spot for another participant, please contact the office for assistance first.
  • Online registration will close 24 hours prior to the start of an event, at the discretion of the event director, or once an event is sold out.
  • You must be logged into the website to purchase track time; pricing and skill level options will not be displayed unless you are in an active session.
  • If you are logged in and do not see your skill level available for selection, your skill level options for the day you are viewing are sold out.

Reserving Your Track Time Over the Phone

Although we will gladly take your order over the phone, placing an order via phone is not recommended.  Registrations are not necessarily completed at the time of the call and cannot be guaranteed until your order is entered into the online registration system and payment is processed.  Customers placing a phone order run the risk of missing out due to other customers filling dates via the online system.


Registration Windows

The earlier you buy, the better the price!  These registration windows are strictly enforced to reward those who commit early and plan ahead.

  • Early Registration ends 14 days prior to the start of an event, meaning that price increases occur on Friday, two weeks prior to the event.
  • Trackside Prices begin 24 hours prior to the start of the event, meaning that price increases occur on Friday the week of the event.

Waitlists

  • Waitlists for sold out events are maintained at the discretion of the administration office, but will not exceed 10 riders per skill level and will not be in effect less than 48 hours prior to the start of an event.
  • Administrative waitlists are independent of trackside waitlists; please visit the registration table trackside should you want your name added to a waitlist for an ongoing event.

Trackside Registration

  • While the office may provide an estimate of availability prior to the event start, this is an approximation and is in no way guaranteed once trackside registration begins.
  • Trackside registration is not available for sold out events.
  • Trackside waitlists are separate from administrative waitlists; neither your name nor your place on the administrative waitlist will be transferred to the trackside waitlist.  It is not guaranteed that the registration team will do a trackside waitlist.
  • Trackside registration may be paid for using cash or debit/credit.

Order Confirmations

All orders that are not Trackside will generate an email confirmation; please review it for accuracy, including date, location, and skill group.  Contact the office as soon as possible should you make a mistake; orders will be corrected according to Cancellation & Order Changes policy as long as space permits.  If you do not receive an order confirmation, please double check that you have provided us with the correct email address and be sure our emails aren't filtered into junk or spam.  If you still cannot locate your confirmation, please contact the office to verify that your registration was processed correctly. 


Instruction Add-Ons

Race Certificate Classes and 1:1 Instruction is subject to staff availability.  In the event that STT cannot offer an add-on service as planned, riders will receive full credit for the amount of the add-on instruction.

If you have a question or issue regarding a charge or order, please contact us via email or phone and we will make all attempts to resolve your issue in a manner consistent with our Terms and Conditions.






Age Restrictions

Individual venues may have rules that differ from STT; venue rules always supersede STT policy.  It is recommended that you verify age policies with the track prior to registration.

As a reminder, STT does not teach riders’ how to operate a motorcycle; it is required that riders are comfortable at near highway speeds in moderate traffic to participate in our events.

  • Riders under the age of 11 years old are not permitted and there are no exceptions to this rule.
  • Riders 11-15 years old with a valid competition license may participate on any size bike through the 600 class (including SV650).
  • Riders 16-17 with a valid drivers’ license may participate without bike restrictions and without a competition license.
  • The parent or legal guardian of a minor rider must sign the event waiver and additional minor waiver and must remain on site for the duration of the track time in which the minor is participating.
    In addition to the required waivers, the following documentation is required at registration:   
    • Parent or legal guardian’s photo identification
    • Minor’s race license or drivers’ license (whichever is applicable)
  • There will be no refunds issued for failure to adhere to the requirements stated here.  We strongly recommend that you contact the office prior to registration for clarification on any questions you may have regarding these policies.
  • Please note the rider’s age in the Comments About Your Order section during checkout when registering online; please notify the administration staff of the riders’ age when registering over the phone.





Risk Awareness

  • By signing up for a Sportbike Track Time event, you agree that Sportbike Track Time, its associates, sponsors, and the local facility cannot assume any responsibility for any aspect of your safety and that while participating in any motorcycle track events, you do so voluntarily and on your own assessment of your ability, the course, conditions, and facilities.
  • If any damages are caused to the track, track facility, and/or grounds of the track facility, the rider responsible for said damage shall also be responsible for the cost associated with the repairs.
  • You agree to release and hold Sportbike Track Time, its associates, sponsors, and the local facility harmless for any injury or loss to your person or property; you assume all risk.
  • You understand that this is an inherently dangerous and life-risking activity and you will not hold Sportbike Track Time, its associates, sponsors, the local facility or any other person responsible for any injury or death resulting in yourself or your property at any event.
  • You also agree that decisions made by Sportbike Track Time, its associates, sponsors and local facility are final.
  • You agree to adhere to all Sportbike Track Time Policies and Procedures as detailed here.
  • All riders are required to sign event liability waivers and photo identification is required.




General Organizational Rules

  • Alcohol and other intoxicants are forbidden during on-track hours (7:00 AM - 5:00 PM) at any Sportbike Track Time event.
  • Any such substance brought to a Sportbike Track Time event must be brought to the attention of Sportbike Track Time staff who will then make a ruling on the appropriateness of the substance (i.e. prescription medication, etc.)
  • Any rider found in possession of such substances at a Sportbike Track Time event will be immediately ejected, forfeit monies paid for track days, and be barred from further attendance for six months. If the substance is a narcotic or other dangerous drugs, the rider will be permanently barred from any future track events with Sportbike Track Time.
  • Any rider who creates a disruption to the point that it interferes with the regular operation of an event will be subject to ejection.
  • Sportbike Track Time reserves the right to refuse admission to any individual. Any individual denied permission to attend a track event will receive a refund unless the denial is for one of the reasons specified in this policy statement.
  • Riders ejected from any Sportbike Track Time event forfeit any and all monies paid to Sportbike Track Time or its affiliates, associates, or sponsors.




Weather Policy

All Sportbike Track Time events are Rain or Shine, with the rare exception that the venue closes the track.  Other cancellations and unforeseen circumstances, while rare, will be rescheduled.

  • The track facility may call a rain day due to hazardous weather.  STT will issue rain vouchers for redemption at a later date; you must be present to receive a voucher.
  • Rain vouchers are non-transferable and expire 6 months from the date of issue.





Event Cancellations

If an event is cancelled due to other unforeseen circumstances, the event will be rescheduled.  This make-up date will be the sole remedy for the cancellation and Sportbike Track Time will not issue refunds.  Cancellation credits will only be issued if requested in accordance with the Cancellation and Changes policy, or if the event is not rescheduled.





Order Cancellations & Changes

Cancellations & Credit

  • Refunds (less an administration fee of 15%) are only given if a written request is received 30 or more days prior to the start of an event.
  • Credit will be issued for cancellations if a written request is received 15 or more days prior to the event.
    • Credit cannot be applied to completed order
    • Credit cannot be transferred to another rider
    • Credit expires 6 months after the date of issuance unless otherwise noted
    • Riders must contact the Admin Team at info@sportbiketracktime.com prior to their purchase to redeem a credit.
  • No cancellations are accepted 14 days or less prior to an event, but members may sell their spot to another member.  See Membership Benefits and Terms for full details.
  • Promotional days of any kind cannot be transferred to another day or rider and are not eligible for cancellation credit.
  • Track days purchased using mechanical credit cannot be transferred to another day or rider and are not eligible for cancellation credit.  Track days partially paid for by mechanical credit are eligible for cancellation credit for the original order total less mechanical credit applied.  See Mechanical and Crash policies for details.


Order Changes 

Order change deadlines vary based on the type of change.  Please note that all order changes can only be processed if capacity allows, and must be requested in writing.

  • Skill Level Change:  We know you worked hard for that bump!  Please email us as soon as possible if you would like future track time you’ve already purchased to be moved to your new skill group.  These changes will be processed anytime more than 7 days prior to the event start, subject to availability, of course.
  • Day Change:  You’ve purchased one of the days but need to change it to the other?  Please email us as soon as possible to see if we can correct this.  This change, although it is within the event, is still technically a cancellation and should be requested 14+ days prior to the event.
  • Transferring to Another Rider:  One of the best membership benefits!  Please email the administration office with the riders’ name and email, as well as the details of the date(s) you’d like transferred.  These requests will be honored if they are received more than 48 hours prior to the event start.  (That’s Thursday morning at 7 a.m. EST for any event that starts on Saturday).  Be sure to review the details of Member to Member transfers by clicking here.






Venue Policies

If a venue has policies or restrictions on any subject that differ from STT policies, venue policies will supersede those of Sportbike Track Time.


Pet Policy

  • We all love to take our furry friends everywhere, but please check with the individual venue for their current pet policy.
    • If the venue does welcome pets, the following rules always apply:
      • Pets must be leashed at all times (even after hours) when outside a vehicle.
      • Owners must clean up after their pets.
      • If a participant violates these rules or those of the track, they will be ejected from the event.

      Gate Fees

      Be aware that most Sportbike Track Time events have a daily gate fee charged by the facility for participants, crew and spectators over the age of 16.  Most are $5.00/day with the exception of Grattan Raceway, which is $10.00 per day or $15.00 for the weekend.  Some tracks are cash only.  

      Please review the “Facts About” each track tab on the Track Time page for the day you are attending, and check out the Fact Sheet for each individual event that is posted under the appropriate region on the Forum (and emailed to riders) the Wednesday preceding the event.





      Riders' Meetings

      Each day begins with a mandatory riders’ meeting- YOU MUST ATTEND TO RIDE THAT DAY!

      Daily rider meetings cover information that is critical to the safety of all riders participating in the event; if you miss the meeting, you will forfeit your ability to participate and you will not receive a refund or credit of any kind..

      Tech & Gear Requirements


      General Motorcycle Requirements

      Track time requires a motorcycle appropriate for high performance track riding.  Severely underpowered motorcycles or those not suited to high speeds and lean angles will not be allowed on the track.

      All bikes must pass technical inspection prior to admittance to the track. If your bike does not pass tech inspection, you will not receive a refund. It is your responsibility to have your bike prepared prior to riding on the race track.

      If you have any questions regarding your motorcycle and equipment, please contact us and we'll be happy to provide you with guidance.


      Tech Requirements - All Skill Groups

      • Tires and brakes must be in good condition. Tires should be at least 50%+ of new condition. Any tires that are bluing from excessive wear will be disallowed. We will have on-site tire service at most events, so if your tires don't pass, you may have the opportunity to put on replacement tires to pass tech. Please contact us to confirm tire service will be available at your event.
      • All glass, headlight, turn signals, and plastic lenses must be taped over or removed.
      • Side mirrors must be removed for the Advanced group and at least taped over for all other groups.
      • We recommend, but do not require, removal of center stands (except for the Advanced group: no bikes with center stands will be allowed in the Advanced due to the ground clearance issue)
      • All machines must have an operational handlebar mounted kill switch/button and self-closing throttle in good working condition.
      • All valve stems must have caps.
      • Wheel balance weights must be well secured and duct taping is required.
      • License plates must have bolts taped or be removed.
      • All GoPros (or similar cameras) that are mounted on a motorcycle must have a tether from the camera case to a point on the motorcycle. It doesn't have to be pretty; it just has to be tethered and secure.
      • Helmet mounted GoPros (or similar helmet mounted cameras) are NOT ALLOWED at all on track.

      Additional Tech Requirements - Intermediate and Advanced


      Advanced and Intermediate group riders must use water, water wetter, or a non-ethyl glycol based antifreeze/coolant. Approved Poly Glycol brands are: Evans, 7th Gear, Liquid Performance, and Engine Ice. Automotive ethyl glycol based coolants are not allowed.


      Advanced riders only must safety wire oil drain plugs, oil filter, and oil fill caps. Intermediate must have a minimum of RTV or Silicone dab on the oil drain plugs and oil filter.  Please note that if you spill oil on the track your day is over.

        Gear Requirements

        • Damage free BSI, ECE-2205, DOT, or SNELL full-face helmet with face shield.
        • Riding boots that fully cover the ankle.
        • Gauntlet-style gloves with full wrist coverage.
        • One or two piece leathers.  Two piece leather suits must zip together with 50% zipper contact for all skill groups.  No chaps are allowed.
          • Ballistic nylon suits such as Joe Rocket, AeroStitch, etc. are acceptable in the Novice ONLY.  They can be one piece or two piece that zip together with 50% zipper contact, reinforced and padded shoulders, elbows, hips, and knee areas.
        • Advanced and Intermediate group riders are required to wear back protectors.  Soft back pads sewn into suits do not meet the requirements.
        • STT also asks that you consider the use of a chest protector.




        Photo & Video Policies

        Sportbike Track Time LLC (STT) reserves the right to publish photographs and/or videos taken of Participants and Spectators, and/or their name and likeness, for use in STT’s print, online, and video-based marketing materials, as well as other STT publications.  Participants and Spectators hereby release and hold harmless STT from any reasonable expectation of privacy or confidentiality associated with the images specified above.  Participants and Spectators further acknowledge that participation is voluntary and they will not receive financial compensation of any type associated with the taking or publication of these photographs or videos in STT marketing materials.  Participants and Spectators acknowledge and agree that publication of said photos confers no rights of ownership or royalties whatsoever.





        Mechanical & Crash Policies


        Crash Policy

        STT enforces our safety rules and encourages members to be careful, courteous, and ride within their limits.  If you crash, you will set out a minimum of one full session.  This is for your safety.  We will evaluate your condition and that of your equipment, and you may be allowed to return to the track.  STT Staff decisions are final.
         
        If you do crash, do not directly re-enter the track. The rider must wait for the crash vehicle to bring the bike back to the pit area. In addition, the rider must wait with the crashed bike and not attempt to cross the track or walk back to the pit area.
         

        Mechanical & Crash Credits - Members Only Policy

        • Receive credit towards another track day purchase if your riding is cut short due to a crash or mechanical issue considered to be unrepairable!
        • TRACKSIDE:  Report your issue to the Event Director immediately; Mechanical credits are ONLY issued by event directors.
        • POST EVENT:  Contact the STT Office at info@sportbiketracktime.com to redeem your credit before the expiration date.
        • All credits expire 6 months from the event date at which the credit was issued.
        • Credits cannot be transferred or refunded.
        • To be eligible, you must be pre-registered, present at the event, and your motorcycle must have passed tech inspection.
        • This is a members-only policy.  If you are not a member, please do not ask for this treatment; simply be a member!



        Gift Certificates & Loyalty Cards


        Gift Certificates

        Gift Certificate purchases are non-refundable.

        • Gift Certificates are automatically emailed to the recipient but are not activated until the order has completed processing (typically one business day).
        • Gift Certificates expire when funds are exhausted or 5 years from the date of activation, whichever occurs first.
        • Gift Certificates cannot be used for trackside purchases.
        • If you are unable to use a gift certificate, it may be transferred to another rider; simply notify us of the change by emailing info@sportbiketracktime.com.
        • To use a Gift Certificate on a purchase, add track time to your cart and enter the code in the Gift Certificate field on the View Cart page.


        Loyalty Cards - Available to Members Only

        Like a gift certificate for yourself - with big savings!  Members enjoy discounted pricing on pre-paid cards.

        • Loyalty Card codes are emailed to the purchaser after order has completed processing (typically one business day).
        • Balances never expire and codes are only disabled once funds are exhausted.
        • Loyalty Cards cannot be used for trackside purchases.
        • Loyalty Cards cannot be combined with credits of any kind.
        • If for some reason you are no longer able to ride a motorcycle or attend track days, members may sell or transfer their loyalty cards to another member; just email the office with the details.
        • To use a Loyalty Card on a purchase, add track time to your cart and enter the code in the Gift Certificate field on the View Cart page.
