Policies and Procedures

Motorcycle Requirements


  • All bikes must pass technical inspection prior to admittance to the track. If your bike does not pass tech inspection, you will not receive a refund. It is your responsibility to have your bike prepared prior to riding on the race track.

  • Tires and brakes must be in good condition. Tires should be at least 50%+ of new condition. Any tires that are bluing from excessive wear will be disallowed. We will have on-site tire service at most events, so if your tires don't pass, you may have the opportunity to put on replacement tires to pass tech. Please contact us to confirm tire service will be available at your event.

  • All glass, headlight, turn signals, and plastic lenses must be taped over or removed. Side mirrors must be removed for the Advanced group and at least taped over for all other groups.

  • We recommend, but do not require, removal of center stands. No bikes with center stands will be allowed in the Advanced Group due to the ground clearance issue.

  • All machines must have an operational handlebar mounted kill switch/button and self-closing throttle in good working condition.

  • Advanced and Intermediate group riders must use water, water wetter, or a non-ethyl glycol-based antifreeze/coolant. Approved Poly Glycol brands are Evans, 7th Gear, Liquid Performance, and Engine Ice. Automotive ethyl glycol-based coolants are not allowed.

  • All valve stems must have caps.

  • Wheel balance weights must be well secured and duct-taping is required.

  • License plates must have bolts taped or be removed.

  • Advanced riders only must safety wire oil drain plugs, oil filter, and oil fill caps. Intermediate must have a minimum of RTV or Silicone dab on the oil drain plugs and oil filter. ** Please note that if you spill oil on the track your day is over.

Rider Gear Requirements


  • Damage-free BSI, ECE-2205, DOT, or SNELL full-face helmet with face shield.

  • Riding boots that fully cover the ankle.

  • Gauntlet-style gloves with full wrist coverage.

  • One or two-piece leathers. Two-piece leather suits must zip together for Novice, Intermediate, and Advanced groups. Ballistic nylon suits such as Joe Rocket, AeroStitch, etc. are acceptable in the Novice ONLY. They can be one-piece or two-piece that zip together with 50% zipper contact, reinforced and padded shoulders, elbows, hips, and knee areas. No chaps.

  • Advanced and Intermediate group riders are required to wear back protectors. Softback pads sewn into suits are not enough. 

  • STT also asks that you consider the use of a chest protector.

 

Rider Meetings


  • Each day begins with a mandatory Rider Meeting. THIS IS A MUST FOR ANYONE WHO WANTS TO RIDE THAT DAY!!

  • Daily Rider Meetings cover information that is critical to the safety of all riders participating in the event.

  • If you miss this meeting, you will forfeit your ability to ride and you will not receive a refund or credit of any kind.

  • If your day is important then you need to arrive on time.

 

Reserving Dates

  • The most effective way to reserve dates is through the online registration system on this website.

  • We accept Visa and MasterCard Only. 

  • Courses are filled on a first-come, first-serve basis, and space is limited for every event.

  • Any spots being purchased for another participant under your own account will be charged an Admin transfer fee of  $20.00 per transfer. If you wish to purchase a spot for another participant, please contact the office for assistance.

  • If paying by check or money order, you must mail your full payment to the Sportbike Track Time address listed on the Contact Us page.

  • Mailing a payment does not guarantee your spot until we RECEIVE AND PROCESS the payment.

  • If you are attempting to register for an event that is nearly sold out, mailing a check is probably not going to be a very safe bet as other customers may fill the event with their online registration.

  • Returned checks will be charged a $30.00 fee.

Please Note: Do not register anyone else under your own User ID. *Orders will not be processed if policy is violated.*  All members must have their own User ID & Password. 

 

Trackside Registration

  • All trackside registration is on a first-come, first-serve basis. The office is open from 9:00 am to 5:00 pm EST Monday through Friday and may provide you with an estimated availability. Keep in mind, this is just an estimation and there are no guarantees to availability once an event goes to trackside registration. To ensure a spot at an event, it is best to secure the spot while it is still available for purchase online. Online registration closes 48 hours prior to the start of an event or once an event is sold out; whichever occurs first.  

 

Phone Orders

  • Although we will gladly take your order over the phone, placing an order via phone is not recommended.

  • We are here to answer any questions you may have about our programs, but enrollment cannot be guaranteed until your order is input into the online registration system and payment is processed.

  • Customers placing a phone order run the risk of missing out due to other customers filling dates via the online system.

 

STT Member Registration:

  • Members get discounted pricing and weekend bundles --minimum of $10.00 PER DAY discount on most events.

  • Members have to sign up 14 days prior to an event to avoid the "late sign-up" fee  ($5.00 surcharge per day)

  • Less than 24 hours before the event (7:00 am of the first day of the event) any registrations are considered "at-track" and an additional "at-track" fee of $10.00 per day will be added to the cost of the event.

  • This policy will be strictly enforced as it rewards those who commit early and plans ahead while still allowing last-minute registrations on a space-available basis

 

STT Non-Member Registration:

  • Non-members have to sign up 14 days prior to avoid the "late sign-up" fee ($15 surcharge per day).

  • Less than 24 hours before the event (7:00 am of the first day of event) any registrations are considered "at-track" and an additional "at-track" fee of $10.00 per day will be added to the cost of the event.

  • This policy will be strictly enforced as it rewards those who commit early and plans ahead while still allowing last-minute registrations on a space-available basis.

Video Camera rules

Please note some NEW tech rules regarding GoPro (or similar) cameras:

  • All GoPros (or similar cameras) that are mounted on a motorcycle must have a tether from the camera case to a point on the motorcycle. It doesn't have to be pretty; it just has to be tethered and secure.

  • Helmet-mounted and chest-mounted GoPros (or similar helmet-mounted cameras) are NOT ALLOWED at all on track.

 

Photograph and Video Images

Sportbike Track Time LLC (STT) reserves the right to publish photographs and/or videos taken of Participants and Spectators, and/or their name and likeness, for use in STT’s print, online, and video-based marketing materials, as well as other STT publications. Participants and Spectators hereby release and hold harmless STT from any reasonable expectation of privacy or confidentiality associated with the images specified above.  Participants and Spectators further acknowledge that participation is voluntary and they will not receive financial compensation of any type associated with the taking or publication of these photographs or videos in STT marketing materials. Participants and Spectators acknowledge and agree that publication of said photos confers no rights of ownership or royalties whatsoever.

 

Pricing Info: Gate Fees

  • Most Sportbike Track Time events have a $5.00 per day gate fee (except Grattan Raceway which is $10 for the day or $15 for the weekend event) for all persons 16 years of age and up including all track day riders.

 

Order Confirmations

  • You will receive a confirmation via email after placing your order.

  • Please double check that you've provided us with the correct email address and check to make sure your spam filter does not block emails from Sportbike Track Time.

 

Cancellations & Order Changes

  • Cancellations and changes must be received in writing at least 30 days prior to the scheduled course date.

  • Upon receipt of this written notification, refunds will be given less a 15% administrative charge only if a cancellation request is received 30 days in advance in writing (email).

  • Cancellations made between 15 and 30 days prior to an event will be granted a credit for another track date usable for a period of six months from the date the credit is issued  (credits are tracked and are non-transferable).

  • No cancellations will be accepted 14 days or less prior to an event but members do have the option to sell or give away their spot to another member.

  • In the extremely unlikely event that management at a venue calls the day prior to any on-track activity due to the track being deemed "non-ridable", a makeup date may be issued for a future date of the venue's choosing. This date will be the sole remedy and Sportbike Track Time will issue no refunds/credits for future events.

 RAINCHECK

NOTE: In order to purchase Raincheck, you MUST be an STT, STGirl, or STT Military member, with a current (2020) membership. Raincheck is valid for the calendar year 2020 and expires on 12/31/2020.

Members who add Raincheck to their membership will receive the following benefits:

  • Use the rain check to apply towards track days you can not attend. The rain check can be applied towards any two days in the 2020 season FOR ANY REASON (weather, pet getting married, etc.)

  • Raincheck members will receive a 100% credit for the day to be used for later STT 2020 dates

  • Raincheck must be purchased 14 days prior to the event that you are requesting it to be applied towards

  • Cancellation credit MUST be used in the 2020 season - it does not transfer to the following year

  • Cancellations MUST be made at least up until the start of the rider's meeting before the start of the event -- if you attend the rider's meeting, you cannot use a credit

  • Cancellation MUST be made by calling or emailing the Admin office (ie: NOT on Facebook)

  • Although regular members are allowed to sell or transfer their spots to another member - Raincheck takes the pressure off of having to sell the spot to recoup the cost of the spot.  Don't worry about having to sell that spot when there is a 100% chance of rain - with Raincheck you can cancel your day and receive credit!

  • Raincheck can be used for ANY reason that you may want or need to cancel the day for!
